Fuel System Access

  •  Fuel Key: Most vehicles will have a black plastic computer chip key on the vehicle key ring

  • Automated Fuel: Vehicles will be equipped with a keyless device that authorizes fuel without using a key.

Fuel Key

  •  Turn off engine, remember mileage.

  •  Answer the prompt for MILEAGE (enter mileage without tenths) and press ENTER to complete input.

  • Press key into reader (at the fuel island) one time and REMOVE.

  • Answer the prompt for Pump number and press ENTER to complete input.

  • Insert fuel nozzle into tank

  • Turn fuel pump lever to on position.    

  • After fueling is complete, turn off pump and return fuel nozzle to the dispenser.

Automated Vehicle

  • Turn off vehicle.

  • Insert fuel nozzle into tank.

  • Turn fuel pump lever to on position.

  • Fueling should start within a few seconds and may take up to 30 seconds to communicate the wireless information

  • After fueling is complete, turn off pump and return fuel nozzle to the dispenser.

                   CNG Vehicles:  Please follow venting procedures posted at pump

Tips for trouble free operation:

  • Use only the key assigned to the vehicle.
  • Fuel only once per day
  • When prompted, ENTER mileage without tenths.
  • Enter correct mileage every time, inputting invalid mileage creates problems in billing and preventative maintenance scheduling.   

 Reasons why pump may not activate:

  • Incorrect fuel selected (diesel/unleaded)
  • Fuel nozzle not fully inserted/seated in tank
  • Pump not turned on
  • Fuel capacity has been reached
  • Power failure
  • Fuel disabled by Motor Pool
  • Fuel system error
  • Tank Monitor error

Administrative Information

To replace lost key

  • Send Request to replace key in writing from supervisor to Motor Pool

  •  Lost key fee: $35.00

  •  Maximum of two lost key

  • Third request, installation of keyless device: $150.00

Note: Keyless device can be installed anytime at the request of the department.

 Service DUE stickers

 All Motor Pool vehicles have preventative maintenance schedules and a service due sticker are affixed to the windshield.  Overdue services will restrict fuel usage and eventually lock it out.  Reactivation: $35.00

 Incorrect mileage

 Inputting invalid mileage creates database problems linked to the billing and preventative maintenance scheduling modules.  Administrative time to correct these problems may be billed to the department and could result in the immediate installation of a keyless device. Cost $150.00.

 Advance Installation of Keyless Device

Departments may request to convert some or all of their assigned vehicles to a keyless device at anytime. Contact the Fleet Manager at 468-3099
